Privacy Policy

1. What we collect

When you create an account and register to play:

• First and last name, email address and mobile phone number
• Team (Cambodia, Vietnam or the Philippines)
• Hometown (city and state or country)
• Handicap index, if you give one
• Profile photo, if you add one
• Your tee group, tees, hole-by-hole scores and results
• Who entered or changed each score, and when (to keep results fair)
• Whether you’ve sent the tournament fee (we don’t receive or store any payment details; payment happens in Venmo)
• Messages you send us, such as a sponsor application

2. What’s public

To run a live tournament, some information appears on the public website: your name, photo (or initials), team, hometown, handicap index, group and tee time, and your scores and results.

Your email address and phone number are never shown publicly. We don’t ask for your date of birth. Organizers can see your phone number to reach you on tournament day.

3. How we use it

We don’t send marketing email. You can turn off optional updates (pairings, reminders, results) in your profile; the “confirm your card” email is always sent because it’s needed to finalize results.

• To review and approve registrations and balance the teams
• To create pairings and tee times
• To keep, confirm and verify scores and publish results
• To email you about your registration, pairings, reminders, your scorecard and results
• To send sign-in codes by email or text message, and to reach you on tournament day

4. Who we share it with

We use a small number of service providers to run the site, only for these purposes:

• Sign-in provider (Clerk): accounts, secure sign-in, and sign-in codes by email and text message
• Database provider (Supabase): storing registrations and scores
• Email provider (Resend): sending tournament emails
• Hosting provider (Vercel): serving the website
• Weather (Open-Meteo): your browser requests the forecast for the course; no personal information is sent
• Visit statistics (Google Analytics), only if you accept analytics cookies: pages viewed, device and browser type, and approximate location. We don’t send your name, email, phone or scores

5. Cookies and storage

The site needs a sign-in session, and storage on your phone that keeps scores you’ve entered safe if you lose signal. If you tap Accept on the cookie banner, Google Analytics also sets cookies to count visits; if you tap No thanks, nothing is sent to Google. Change your answer any time with Cookie settings at the bottom of the site. No advertising cookies.

6. How long we keep it

We keep accounts and personal details until December 31, 2026, so we can answer questions and make corrections after the event, then delete them. Results (name, team and scores) stay on the website as the record of SEA Cup 2026. You can delete your account sooner at any time.

7. Your choices

Deleting your account removes your sign-in and personal details straight away. If you’ve already entered scores, they stay in the results as “Former player” so the team results stay accurate; nothing on them identifies you.

• Update your name, hometown, handicap and photo in your profile at any time
• Change your email address or phone number in your profile (confirmed with a code)
• Add, change or remove a password, or add an email or phone you didn’t sign up with
• Remove your photo at any time
• Delete your account yourself from your profile, or ask us to
• Ask us for a copy of your information or to correct it

8. Young players

There’s no minimum age to play. For players under 13, a parent or guardian must create the account and register for them, and is responsible for the details they enter. We collect the same details for every player and never use them for marketing.

9. Security

Access to personal information is limited to the organizers who run the event. Scores can only be changed by the assigned scorer and the tournament desk, and every change is logged.
